SALARY: From £24,080.80 to £30,036.00 dependent on experience

Reporting to the Maintenance Services
Team Manager, the Maintenance Fleet Support Executive plays a key role in
supporting the Maintenance department within Fleet.
This role focuses on managing service plan entitlements, authorising service-only
work, and handling maintenance administration for our retail fleet of passenger
and light commercial vehicles.
Working closely with Fleet Support
Executives, Maintenance Controllers, and Team Managers, you'll help deliver
Vehicle Off Road (VOR) support, downtime updates, and manufacturer engagement.
You'll also liaise with tyre suppliers to authorise work and resolve related
queries, while providing essential admin support across the maintenance and
wider Fleet teams.
What you’ll be doing:
- Act as an SME for retail service plans and authorise routine services for private use and fleet vehicles, in accordance with the manufacturer’s service requirements and VWFS budgetary controls.
- Provide tyre authorisation support and manage administrative tyre queries and reimbursement requests.
- Liaise with Retailers and Manufacturer Fleet teams and Account managers to provide basic VOR (Vehicle off Road) downtime resolution. Proactively prompting and organising of manufacturer supplied hire vehicles and supporting the customer and maintenance team with vehicle downtime management concerns.
- Provide vehicle repair updates and ETA’s to customers and account managers.
- Provision of bespoke internal reporting for goodwill reimbursement and distribution from manufacturers.
- Communicate in all mediums effectively to maximise customer satisfaction levels, reduce vehicle downtime incidents, and identifying common themes to control expenditure.
- Ensure that department KPI’s in the area of cost control, 1 Link, telephone response times and budgetary requirements are adhered to at all times.
- Act as a key point of contact for colleagues across Fleet and Retail to ensure that customer queries are dealt with in an efficient, timely and professional manner creating suitable outcomes for both customer and business.
- Contribute to ensuring that Fleet directorate is able to demonstrate compliance to all regulatory requirements and to highlight deviation from this at the first opportunity in accordance with FCA regulations.
- Be a key member of the maintenance team, working to ensure the delivery of future fleet objectives.
Essential experience & skills
- A thorough and detailed understanding of Maintenance processes
- A proactive and flexible approach with the ability to react appropriately and effectively to changing priorities and demands.
- Confidence communicating both face to face or by telephone.
- Attention to detail with a high degree of accuracy and ability to work under pressure.
- IT literate with the ability to grasp new systems
- High level of time management and organisational skills
- Extensive knowledge of a wide range of processes and business systems – i.e.1link, CMS, Salesforce, MLA, SAP FI.
- Knowledge and understanding of Fleet leasing solutions (desirable).
- A team player with the ability to work under pressure to meet strict deadlines.
